Job Title: Administrative Team Leader
Salary:£12.86 per hour
Hours: 37.5 hours per week
Location: Belfast
Duration: Temporary
Job Summary:
1. Manage, motivate and deploy efficiently and effectively members of the Administrative Team promoting positive staff morale, empowerment and commitment.
2. Analyse relevant performance data and present information to relevant Administration Manager.
3. Review administrative staffing requirements to ensure resources reflect the needs of the respective teams
4. Participate in the selection, appointment, induction and training of staff
5. Promote and undertake KSF Appraisal with staff and provide guidance and advice to members of staff within assigned area of responsibility on personal development requirements initiating further training/development where necessary.
6. Identify training and development needs of the team and arrange further training as appropriate.
7. Hold regular staff meetings and take any necessary action resulting from matters raised
8. Ensure all relevant information is communicated to Administration Team
9. Monitor the quality, presentation and timeliness of work at regular intervals and, where appropriate, challenge performance issues and take necessaryremedial action
10. Participate in the Trust's Disciplinary and Grievance Procedures as required
11. Co-ordinate and organise leave entitlement of Administration Team ensuring cover is available at all times to meet the requirements of the service
12. Co-ordinate and monitor flexible working arrangements and take remedial action where necessary.
13. Monitor and record absenteeism in accordance with Trust and Patient Administration Services policies, taking necessary remedial action.
14. Liaise with other Managers, Team Leaders and Supervisors within the Patient Administrative Services Department regarding any relevant issues affecting the effective and efficient provision of the service
15. Develop and maintain strong communication with a range of Clinical staff including Consultants, Clinical Managers and Directorate leads.
16. Participate in the development and implementation ofnew systems and processes
17. Investigate complaints, incidents and accidents and report on these appropriately
18. Provide advice and assistance throughout all sections of the Patient Administrative Services Department as and when required
19. Attend Management meetings as and when required andtake any necessary action resulting from matters raised
20. Use own initiative and be able to pro-actively react to urgent situations as and when they arise, aiming for a positive outcome to the scenario.
21. Ensure all relevant information is communicated to Team members
22. Apply as appropriate all policies and procedures within the Trust
23. Undertake training relevant to the post as and when required
24. Make/receive telephone calls in a professional and courteous manner and deal competently with enquiries from other departments, hospitals, General Practitioners, patients, etc.
25.Deal with in-coming and out-going mail
Qualifications/Experience:
1.HNC/HND or equivalent/higher qualification in an administrative related field AND 1 years’ experience in a clerical / administrative role
OR
NVQ level 3 in administration
AND
2 years’ experience in a clerical / administrative role
OR
4 GCSEs at Grades A-C including Maths and English or English Language (excluding English Literature) or equivalent / higher qualification AND 3 years’ experience in a clerical / administrative role
OR
4 years’ experience in a clerical / administrative role at Band 3.
2. OCR Level II (Parts 1&2) Text processing/Word processing
OR
2 years equivalent experience in the use of Microsoft Office Products including Microsoft Word.
3. Working knowledge of electronic information systems/databases and inputting and extraction information
4. Working experience in an administrative capacity dealing with competing demands on time and resources, adhering to tight deadlines.
