Role Overview We are currently recruiting for an Asset Survey Coordinator to join our passionate and driven team based at our Glasgow office.   To work as part of a team responsible for the delivery of a high-quality service to all customers within and out with the technical services department. To work proactively with all internal and external staff, contractors and consultants to monitor, coordinate and report on the delivery service. To develop information, reporting and data collation for the technical services department. To provide administrative support and process development support to the Asset Survey and lifecycle manager and technical services team. Accurate Recording and Monitoring: Ensure the accurate recording and monitoring of delivery services, encompassing finance and performance monitoring. Develop comprehensive reporting, system information, and intelligent presentation of information. Support for Asset Survey and Lifecycle Manager: Function as a support role for the Asset Survey and Lifecycle Manager and the Technical Services Team. Drive information gathering, customer care, and process monitoring to enable reporting, delivery, and team/system development. Strategic Planning and Coordination: Strategically devise and structure a comprehensive plan for executing asset surveys, meticulously considering scope, timeline, and resource allocation. Collaborate seamlessly with the Asset Survey Operations Coordinator and various departments to optimize the efficiency of thesurvey process. Team Mobilization and Leadership: Actively assist the Asset Survey Operations Coordinator in assembling a high-performing team of surveyors tasked with collecting invaluable data on assets. Provide insightful guidance to team members, ensuring a clear understanding of their roles and responsibilities. Precision Data Collection Oversight: Personally oversee the meticulous execution of the surveying process, serving as the final quality assurance checkpoint. Implement and enforce standardized procedures to guarantee uniformity and accuracy in data collection methods. TechnologyIntegration Management: Take charge of overseeing and managing the seamless integration of innovative technology tools and software, including barcode scanners, RFID systems, and specialized asset management software, to streamline the data collection process. Quality Assurance Implementation: Establish and rigorously implement robust quality control measures and checks, ensuring the precision and completeness of collected data. Conduct regular audits to swiftly identify and rectify any discrepancies or errors in the survey data. Comprehensive Documentation and Reporting: Ensure meticulous documentation and backup of survey methodologies, results, and encountered challenges. Craft comprehensive reports that distill findings into actionable insights, presenting them with structure and clarity to management, teams, and relevant stakeholders. Initiative-taking Stakeholder Communication: Maintain initiative-taking and transparent communication channels with diverse stakeholders, including department heads, IT personnel, and other key parties. Swiftly address concerns or queries related to the asset survey process to foster a collaborative environment. Regulatory Compliance Assurance: Guarantee stringent adherence to relevant regulations, policies, and industry standards, including ISO accreditation, in the execution of the asset survey process. Stay attuned to changes in regulations or standards that could impact survey operations. Dynamic Problem Resolution: Proactively addressand resolve challenges or obstacles that may arise during the survey, demonstrating agility in dealing with logistical issues, equipment malfunctions, or data discrepancies. Insightful Reporting and Analysis: Employ sophisticated data analysis techniques to extract meaningful insights from survey data, identifying trends, patterns, and areas of concern. Craft insightful reports for management, offering strategic recommendations based on survey findings. Financial Management of Projects and Department: Contribute to the economic management of projects by preparing and monitoring budgetary aspects and ensuring cost-effectiveness in the execution of asset surveys. Collaborate with the Asset Survey and Lifecycle Manager and the finance/bid department to align project expenses and rates with budgetary constraints. Additionally, actively participate in the financial oversight of the department, identifying opportunities for cost optimization and efficiency gains. Continuous Improvement Initiatives: Spearhead initiatives to continually enhance the effectiveness of the asset survey process. Stay abreast of advancements in asset management technology and methodologies, recommending and implementing improvements to optimize survey efficiency. By adeptly managing these responsibilities, the Asset Survey Coordinator contributes to the precision and currency of an organization's asset records, fosters improved decision-making, and actively supports economic management efforts within bothprojects and the broader department.
