This role is 100% office based as the candidate is required to be in the office when the project manager is on site. Reporting to: Project Manager Benefits: 20 day holidays plus Bank Holidays, Pension, Salary Exchange Pension Programme Description: This is a new role for the Civils team and has come about due to growth. My client has invested in the Civils team around 18 months ago, bringing 3 senior managers to grow the division. They have done justthat and have been successful in winning tenders/business and works are beginning to start. As a result, they are now drowning in data and admin and really could do with some support. They are looking for a super organised admin/project coordinator based in their Rochester offices - someone who will be able to hit the ground running and introduce solutions. This is the first admin/support role in this site and so my client can see this person becoming a go-to with general office admin processes etc. It really is a role that a good co-ordinator can come in and quickly make their mark and a positive contribution. The ideal candidate will be someone who has previously worked in a construction-based industry - This would be a great advantage. About Us: My client plays a key role in the rail industry, providing a whole manner of off-track solutions, and minor civils works, in partnership with Network Rail and other major contractors. They fully assess their clients’ requirements, apply their specialist knowledge accordingly and using their own OTP and machinery, they are able to create a cost-effective and practical solution. About the vacancy: My client requires an experienced Project Co-ordinator to support their busy Civil Engineering team in Rochester on a full time, permanent basis. Key duties include accurate recording of site data, ensuring compliance to internal and external standards and the coordination of a range of resources, thereby ensuring seamless delivery and an excellent service to their clients. Candidates must therefore have exceptional attention to detail, substantial experience in MS Excel and have the ability to build good internal and external working relationships. As Project Coordinator you will be supporting the Senior Project Manager and the Civils team, and so excellent organisation and communication skills will be key to your success. The ideal candidate will have had experience using online maps and adapt well to changing priorities. This role requires you to be proactive in your approach and, as an integral member of the team, demonstrate initiative in problem solving.The role will require you to be a self-motivated team member who can work both independently and ‘muck-in’ as part of a team. You will take pride in your work, complete tasks to a high standard, in line with my clients ethos and values. Duties and Responsibilities: • Provide professional and comprehensive support to the Project Manager and the delivery team. • Accurate capturing, recording and reporting of technical data, utilising spreadsheets, trackers and other software. • Ensure project records and files are collated, complete, up to date and stored in line with internal andexternal requirements. • Proactively plan, co-ordinate and organise access, road closures, resource, logistics, etc. with appropriate third parties, in a timely manner, supporting efficient delivery and building effective relationships. • Create and implement efficient standard operating procedures for the role of Project Co-ordinator, ensuring adherence to internal quality and compliance systems. • Co-ordinate and submit various documents and reports, to the client, as required. • Manage and participate in the development and implementation of new ways of working to improve working processes. • Proactively liaise and collaborate with internal colleagues and external clients to support effective service delivery and consistency in practice. • Co-ordinate, attend and minute meetings. Track and follow-up actions in a timely manner. Support the Project Manager in co-ordinating diaries. • Provide technical administrative support to the wider business for ad-hoc projects, when required. • Develop excellent professional relationships with internal and external key stakeholders to support collaborative working. • Observe and follow all applicable safe methods of working, and health, safety and environmental rules/procedures. * Report any incidents or Close Calls immediately to the appropriate person. • Undertake training as required by your manager or the Company. • Adhere to Company Policies and Procedures. • Uphold and reflect the ethos and values of the Company. • Work in accordance with my clients Equality, Diversity and Inclusion policy • Undertake any other duties as may be reasonably required by the Company • Work flexibly and be receptive and adaptable to a changing environment within a growing Company Desirable: • Previous technical administration experience is desirable. • Experience in MS Projects • Experience using or working with digital or online mapping systems, including GPS/GIS. • Full driving license.
